To support the Finance and Office Manager with financial and office management processes and systems

To work collaboratively with the line manager to contribute to administrative activities which support our business and hall users, management and trustees.

Specific responsibilities:

Supporting the following range of activities


  • Processing of purchase invoices
  • Management and preparation of License fee invoices
  • Compiling disbursement invoices
  • Processing of remittances and payments
  • Processing of supplier payments
  • Processing of monthly financial statements and reports
  • Debtor management and credit control
  • Processing of monthly bank statements and banking charity finances
  • Administration of hall hire and booking system
  • Financial analysis relating to hall utilisation and capacity
  • Contribution to operational running of business/charity (e.g.: ad hoc cover/duties when required)

Office management

  • Premises maintenance and supervision of cleaning staff/contractor
  • Supplier sourcing and management
  • Internal and office management
  • Website management and maintenance
  • Production of annual reports
  • Taking minutes during trustee meetings
  • Working up to 3 hours a month outside normal working hours a directed by management.
  • Walking around the building to ensure health and safety regulations are adhered to, cleanliness and manage/report any problems through relevant channels
  • Any other ad hoc duties

Customer and corporate services

  • Secretarial and diary support
  • Newspaper cutting and media publication administration and evaluation
  • Reception, meeting and telephone duties
  • Maintain business and hall user database systems and services
  • Publication systems
  • Event organization
  • Research
